Private Training, Onsite Service & Travel Policy

This policy explains Tampa Bay Training's standard scheduling, billing, participant, facility, safety, accessibility, equipment, and travel expectations for private training delivered onsite or by live video conference.

The accepted quote, purchase order or contract and all course-specific requirements remain controlling.

7 Participants Standard private-class billing minimum unless the approved quote states otherwise.
20 Participants Standard maximum; some courses require a lower limit.
7 Calendar Days General deadline for complete participant and logistical information.

Planning and confirmation

Scheduling, Quote Approval & Lead Time

A requested date is not a confirmed class. Complete information allows Tampa Bay Training to verify instructor availability, course requirements, materials, facility needs, and travel before accepting the engagement.

Request the Class

Provide the course, preferred date, delivery format, training location, expected participant count, and primary contacts.

Review the Requirements

Identify roster, credential, accessibility, equipment, worksite, purchasing, insurance, vendor, security, and facility requirements.

Approve the Engagement

The class is confirmed only after Tampa Bay Training accepts the date and the client approves the quote or required purchasing document.

Provide information early: Tampa Bay Training generally requires complete participant and logistical information at least seven calendar days before class. Credentialing organizations, printed materials, physical cards, instructor travel, or class-specific authorization may require additional lead time.

Group Billing & Participant Requirements

Billing Minimum & Class Size

  • The standard private-class billing minimum is seven participants.
  • A class may be held with fewer attendees but is normally billed at the seven-participant minimum.
  • The standard maximum is 20 participants.
  • Practical skills, equipment, instructor ratios, room size, credentialing rules, or safety needs may require a lower maximum.
  • A different minimum or maximum applies only when confirmed in writing.

Roster, Eligibility & Attendance

  • Provide accurate names, contact details, and prerequisite documentation by the stated deadline.
  • Participants must meet course-specific identification, attendance, participation, and assessment requirements.
  • Roster changes may be restricted after materials, examinations, or credentials are ordered.
  • Participant substitutions require advance approval.
  • The final invoice is based on approved pricing, confirmed registration, and applicable minimums—not only those who appear on class day.

A safe and usable learning environment

Host-Site Responsibilities & Accessibility

Training Room & Facility

  • A clean, climate-appropriate room with adequate space
  • Tables and chairs appropriate for the course
  • Reliable electricity and suitable extension access
  • A television, projector, or display—or advance notice that equipment is needed
  • Accessible restrooms and a venue participants can enter and use
  • Reasonable parking, loading, and instructor access
  • A quiet environment suitable for instruction and testing
  • An onsite representative authorized to address facility and safety concerns

Accessibility & Accommodations

Tampa Bay Training and the host organization will coordinate reasonable accessibility arrangements while preserving essential course, safety, attendance, and credentialing requirements.

  • Share known access needs as early as possible.
  • Do not place confidential medical information on a general roster.
  • Use Customer Service for accommodation requests and private follow-up.
  • Third-party credentialing organizations may control approval and timing for examinations or course elements.

Course-specific responsibilities

Equipment, Practical Training & Customization

Equipment & Practical Evaluations

  • Tampa Bay Training provides instructional and demonstration equipment identified for the course.
  • The client normally provides workplace equipment used for operator evaluation, applicable equipment records, a safe operating area, and required PPE.
  • Only equipment suitable for the planned activity may be used.
  • The instructor may pause or stop an activity when conditions, equipment, or conduct create a safety concern.
  • Classroom instruction does not replace an employer's site-specific duties, supervision, authorization, or evaluation unless expressly included.

Client Materials & Customization

  • Provide current policies, plans, drawings, scenarios, or standard operating procedures early enough for instructor review.
  • The client is responsible for confirming that supplied information is current and may be shared for training.
  • Allow enough time to review requested examples and incorporate approved content responsibly.
  • Substantial customization, consulting, curriculum development, coaching, or document production may require a separate scope and fee.

Florida Travel Charges

Live-online classes do not incur instructor travel charges. Onsite travel is based on the training location and is confirmed in the approved quote.

Standard calculation (Training days + 1 additional travel day) × applicable daily zone rate

Travel charges apply to the class, not separately to each participant. The approved quote identifies the applicable zone and final calculation.

Additional travel expenses: Lodging, airfare, parking, tolls, ferry service, special transportation, shipment, or other unusual expenses are included only when listed in the quote or approved in writing. Tampa Bay Training will not add an undisclosed travel category without client approval.

Protect instructional quality and safety

Daily Access, Changes & Unsafe Conditions

Schedule, Breaks & Access

The client should ensure timely building access and participant readiness. Required instructional hours, breaks, and testing time cannot be shortened because a facility closes early or participants arrive late.

Some courses must be delivered across a minimum number of days or within defined daily instructional limits. Applicable course requirements control the schedule.

Changes, Cancellations & Conditions

Notify Tampa Bay Training promptly of a requested date, location, format, roster, or scope change. Changes depend on instructor availability, provider requirements, and revised costs.

Tampa Bay Training may pause, relocate, reschedule, or cancel training when severe weather, an emergency, unsafe equipment, an inaccessible or unsuitable facility, technology failure, or another condition prevents responsible delivery.

Cancellation and rescheduling terms: Review the Refund, Cancellation & Class-Exchange Policy. A signed quote, purchase order, contract, or engagement document may modify the standard terms.
