Refund & Class Exchange Policy

At Tampa Bay Training, we understand that schedules change and unexpected situations arise. Our goal is to provide a fair and flexible refund and class exchange policy while ensuring that scheduled classes remain viable for all participants.

Please review the following policy before registering for a course.


Our Commitment

We strive to provide exceptional customer service and will work with participants whenever possible to find a reasonable solution. While this policy establishes our general guidelines, Tampa Bay Training reserves the right to make exceptions when circumstances warrant.


Open-Enrollment Classes

Cancellations 14 or More Days Before Class

Participants who cancel at least 14 calendar days before the scheduled class may choose one of the following:

  • A full refund of the registration fee, or
  • A credit toward another Tampa Bay Training open-enrollment class.

Cancellations 7–13 Days Before Class

Participants canceling 7 to 13 calendar days before class may:

  • Transfer to another available class one time without an administrative fee, or
  • Receive a refund less a 10% administrative processing fee.

Cancellations Less Than 7 Days Before Class

Cancellations received fewer than 7 calendar days before class are generally not eligible for a refund because instructional materials, instructor scheduling, and classroom resources have already been committed.

Whenever possible, Tampa Bay Training will allow the registration to be transferred to another scheduled class within 12 months of the original class date.

Additional restrictions may apply depending on the course.


No Shows

Participants who fail to attend a scheduled class without prior notice are generally not eligible for:

  • Refunds
  • Credits
  • Class transfers

Exceptions may be considered for documented emergencies at the discretion of Tampa Bay Training.


Student Substitutions

Organizations may substitute another employee for a registered participant at no additional charge, provided the substitution:

  • Is requested before the class begins,
  • Meets any course prerequisites, and
  • Satisfies any regulatory or provider requirements.

Private Group Training

Private training engagements require instructor scheduling, travel planning, and reserved training dates.

Cancellation terms for private training are generally governed by the client agreement, proposal, or contract.

Unless otherwise specified:

  • More than 21 days before training: No cancellation fee.
  • 8–20 days before training: Client may be responsible for documented non-recoverable expenses.
  • 7 days or less before training: Client may be responsible for instructor time, travel expenses, purchased materials, and other committed costs.

Whenever practical, Tampa Bay Training will work with the client to reschedule training rather than cancel it.


Self-Paced Online Courses

Because access to online course materials is typically granted immediately after purchase:

  • Self-paced course purchases are generally non-refundable once course access has been issued.

If a participant experiences technical difficulties or believes access was issued in error, they should contact us promptly so we can assist.


Course Cancellations by Tampa Bay Training

Occasionally, Tampa Bay Training may need to postpone or cancel a class due to:

  • Low enrollment
  • Instructor illness
  • Severe weather
  • Facility issues
  • Emergency situations
  • Other unforeseen circumstances

When Tampa Bay Training cancels a class, participants may choose:

  • A full refund, or
  • Transfer to another available class at no additional charge.

Tampa Bay Training is not responsible for airline tickets, hotel reservations, lost wages, mileage, meals, or other incidental expenses incurred by participants.


Weather and Emergency Closures

The safety of our participants and instructors is our highest priority.

If severe weather or another emergency requires postponement or cancellation, participants will be notified as soon as reasonably possible.

Whenever practical, affected registrations will be transferred to the next available class.


Certification Requirements

Refunds will not be issued because a participant:

  • Does not achieve a passing examination score,
  • Does not successfully complete required practical evaluations,
  • Fails to meet attendance requirements,
  • Arrives late or leaves early,
  • Does not provide required identification, or
  • Fails to satisfy course prerequisites.

Additional training or reassessment opportunities may be available for certain programs.


Transfer Policy

Most open-enrollment registrations may be transferred one time to another scheduled class within 12 months, subject to:

  • Seat availability,
  • Applicable provider requirements,
  • Completion of any prerequisites, and
  • Timely notification.

Repeated transfers may be subject to an administrative fee.


Refund Processing

Approved refunds are generally processed using the original payment method whenever possible.

Please allow 7–14 business days after approval for processing. Actual timing may vary depending on your financial institution or payment provider.


Special Circumstances

Tampa Bay Training understands that unexpected events occur.

We encourage participants experiencing medical emergencies, military deployment, family emergencies, or other extraordinary circumstances to contact us. Whenever practical, we will work with you to identify a reasonable solution.
