Vendor & Procurement Information

Tampa Bay Training works with local governments, public works and utility departments, engineering and construction organizations, infrastructure contractors and other employers throughout Florida. We understand that purchasing, human-resources, legal, information-technology, safety and risk-management staff may need documentation before training can be scheduled.

Request a Current Vendor Packet

For security and document-control purposes, Tampa Bay Training provides current vendor documents through a verified request rather than unrestricted public download.

A vendor packet may include, as applicable to the engagement:

  • Current Form W-9
  • Certificate of insurance or evidence of requested coverage
  • Florida business-registration information
  • Current local business tax receipts
  • Current supplier-diversity certifications
  • Course-specific provider, instructor or training-center documentation
  • Relevant experience or organizational references, subject to confidentiality
  • Completed vendor-registration forms supplied by the client

Information to Include With Your Request

To help us send the correct documents, please provide:

  • Your name, title and organization
  • Your official organizational email address
  • The training or service being considered
  • The anticipated date and location or delivery format
  • The documents or insurance limits required
  • Your vendor portal or registration instructions, if applicable
  • Your requested response date

Business and Supplier-Diversity Information

Tampa Bay Training is a Florida limited liability company. Current legal-name, registration, tax and remittance information will be provided through the vendor packet.

Tampa Bay Training may hold small-business, disadvantaged-business, minority-business or local supplier certifications issued by particular jurisdictions. Certification status is time-sensitive and applies only to the issuing program. Review the issuing organization, certification category and expiration date rather than assuming that one certification applies statewide or to every procurement.

Course Qualifications and Credentialing Relationships

Qualification documentation depends on the course. Tampa Bay Training may act as an approved provider, training center, authorized instructor, independent facilitator or issuer of a Tampa Bay Training certificate of completion.

When your organization needs proof for a particular course, tell us the course name and requested delivery format. We will provide the documentation relevant to that program. A company-wide statement should not be used as a substitute for course-specific authorization.

Insurance Requests

Provide required insurance limits, endorsement language, certificate-holder information and submission instructions before the quote is finalized whenever possible. Some endorsements, unusual limits or client-specific requirements may affect price, scheduling or availability.

A certificate of insurance is evidence of coverage at the time it is issued; it does not amend the insurance policy or create rights beyond the policy terms.

Purchase Orders, Contracts and Public Procurement

Please send purchase orders, scopes, contracts and special terms early enough for review. Tampa Bay Training will identify material conflicts or requirements that affect delivery, including:

  • Indemnification, insurance or legal terms
  • Public-records, confidentiality or data-security requirements
  • Background screening or facility-access requirements
  • Technology, cybersecurity or platform reviews
  • Accessibility and accommodation responsibilities
  • Travel, parking, lodging or site-access requirements
  • Invoice format, vendor-portal or payment terms
  • Credentialing-body requirements and class-size limits

A signed agreement, accepted quote or valid purchase order may contain engagement-specific terms that supplement or replace general website information.

Payment and Banking-Fraud Prevention

Verify changes independently. If you receive a request to change Tampa Bay Training's payment destination or banking instructions, confirm it using a previously known telephone number or established contact. Do not rely only on the email containing the requested change.

Tampa Bay Training does not publish banking instructions, ACH forms, tax-identification numbers or completed W-9 forms on its public website.

Protecting Client and Participant Information

Send sensitive documents only through an agreed secure method. Do not email Social Security numbers, complete payment-card information, health records or passwords to Tampa Bay Training unless specifically requested through an appropriate protected process.

Training rosters should contain only the information needed for registration, attendance, testing and credentialing. Additional information required by a credentialing organization will be identified for the applicable course.
