Travel & Onsite Training Policy

Tampa Bay Training proudly provides onsite training throughout Florida and, when requested, in other states. Our goal is to make professional workforce development as convenient and cost-effective as possible while maintaining fair and transparent pricing.

This policy explains when travel charges may apply and how they are determined.


Our Commitment

Whenever practical, Tampa Bay Training works to minimize travel costs for our clients. We often combine multiple training events, coordinate instructor schedules, or recommend alternative delivery options to help organizations receive high-quality training at the lowest reasonable cost.


Onsite Training Throughout Florida

We routinely travel throughout Florida to provide private training for:

  • Local Governments
  • Public Works Departments
  • Utilities
  • Engineering Firms
  • Construction Companies
  • Businesses and Professional Organizations

Many onsite training programs can be delivered directly at your facility, allowing employees to learn in a familiar environment while reducing time away from work.


When Travel Charges Apply

Travel expenses may apply when training requires:

  • Significant instructor travel
  • Overnight lodging
  • Airfare
  • Rental vehicles
  • Parking or tolls
  • Shipping of specialized equipment or training materials
  • Multiple instructors
  • Extended travel time

Travel charges vary depending on the location, duration, and requirements of the training.


Local Training

For training conducted within the greater Tampa Bay region, travel charges are often waived or included in the quoted training fee.

Whether travel charges apply depends on:

  • Distance
  • Class size
  • Number of training days
  • Instructor availability
  • Existing travel schedules

Statewide Training

Tampa Bay Training regularly conducts onsite training throughout Florida.

For many locations, travel costs are incorporated into the proposal. When additional travel expenses are necessary, they will be identified in advance so there are no unexpected charges.


Out-of-State Training

Training outside Florida is welcomed.

Clients requesting training outside Florida should anticipate reimbursement for reasonable travel expenses, which may include:

  • Airfare
  • Hotel accommodations
  • Ground transportation
  • Mileage
  • Parking
  • Tolls
  • Shipping of equipment or materials

Actual requirements vary depending on the training location.


Mileage

When applicable, personal vehicle travel may be billed using the current IRS standard mileage rate or another rate identified in the client proposal or agreement.


Lodging

When overnight accommodations are necessary, Tampa Bay Training will seek reasonably priced business-class lodging near the training location.


Meals and Incidental Expenses

For multi-day travel, reasonable meal and incidental expenses may be included as identified in the proposal or client agreement.


Multiple-Day Training

Many organizations schedule multiple training programs during the same visit.

Combining courses often reduces overall travel expenses and provides greater value by spreading travel costs across several training programs.


Customized Quotes

Every onsite training request is unique.

Your proposal will clearly identify:

  • Training fees
  • Instructor fees
  • Travel expenses (if applicable)
  • Materials
  • Equipment
  • Other anticipated costs

We believe there should never be surprise fees after training has been scheduled.


Virtual Training as an Alternative

Many leadership, management, OSHA awareness, professional development, emergency management, and workplace training programs are available through live instructor-led online delivery.

Virtual training may eliminate travel costs while still providing an engaging learning experience.

Do you travel anywhere in Florida?

Yes. Tampa Bay Training regularly provides onsite training throughout Florida.

Are travel charges always required?

No. Many onsite classes within our normal service area include little or no additional travel cost. Every proposal is prepared individually.

Absolutely. Many clients schedule several courses over one or more days to maximize instructor time and reduce overall travel expenses.

Do you travel outside Florida?

Yes. We regularly consider requests throughout the United States, subject to instructor availability and travel logistics.
